IRCC Employment Letter Format (2026): What Should Your Employer Include?

If you’re applying for Express Entry, Provincial Nominee Program (PNP), or other permanent residence pathways, one of the most important documents is your employment reference letter.

An incomplete or incorrect employment letter may delay your application or result in your work experience not being accepted. Here’s what your employer should include.

1. Date of Issue

The letter should clearly mention the date it was issued.

2. Employment Details

Your employment letter should include:

Employee’s full name

Job title/position

Employer’s name

Work location

Employment start date and end date (or indicate “currently employed”)

Number of hours worked per week

Employment status (full-time or part-time)

Salary, hourly wage, and benefits (if applicable)

3. Job Duties and Responsibilities

The letter must contain a detailed description of your main duties and responsibilities. These duties should closely match the National Occupation Classification (NOC) code you are claiming in your immigration application.

4. Supervisor or Authorized Representative Information

The letter must include:

Supervisor’s or HR representative’s full name

Job title

Signature

Email address

Telephone number

5. Company Letterhead

The employment letter must be printed on the employer’s official company letterhead showing:

Company name

Business address

Contact information

Company logo (if available)

Why Is This Important?

IRCC uses your employment letter to verify your skilled work experience. Missing details may result in your work experience being refused or additional documents being requested.

Before submitting your application, review your employment letter carefully to ensure it contains all the required information.
